Occupancy and rates
Single/Double $89.00 Triple $99.00 Quad $109.00
We could not convince them to give us breakfast with the rate. Without asking, they did throw in 10 rooms for the weekend prior and additional allocations for after at the same rate.
Breakdown as follows:
6/18/10 – 6/19/10: 10 rooms only for those who wish to enjoy the weekend prior
6/20/10 – 6/24/10: 90 rooms for those who wish to arrive early.
6/25/10: 30 rooms for those wanting to stay through Friday night
6/26/10: 10 rooms for those staying through Saturday night
6/27/10: Regular rates apply and all associated with the event that did not previously do so, must checkout unless you made other arrangements beyond the days above.

Keep in mind they are usually booked 98% full year round, so make sure you make your reservations in a timely manner.

For those of you who are wondering why the site sometimes indicated you can get it as low as $89, keep in mind that rate normally jumps up the closer they get to selling out, this block makes it possible for us to keep the rate down.
As we get closer to the actual meet, I will have to make adjustments on the room numbers. If we have more than the 90, then I can increase them based on availability, so the sooner you reserve the better. If we are approaching 30-45 days out and we don’t have the rooms reserved, I will have to remove them from the block or face a sizable fee; so guess what I'll be doing as I didn't win that Powerball in SC this week.

Once a room is reserved, it is the responsibility of the individual to pay any cancellation fees if not canceled at least 24 hours in advance of the scheduled arrival date. Whenever reservations are made and then canceled, the room does not go back to the block.

We currently have 27 rooms reserved at Harrah's Hotel. As of right now there are several names on the hotel listing which I have not received PM's or email's from a forum member tying the username and name used for the reservation.

Please read the directions below and respond accordingly. It is very important I have an accounting of these reservations to make sure we have enough rooms at our rate set aside. Remember, I only have 90 rooms allocated for our group. The sooner we deplete that list, the more likely I can secure more rooms.

Also, if you have your first night starting on the 22nd, please keep in mind we are starting starting activities that morning, so you may want to change your reservations to the 21st.

Just a quick note. While trying to make reservations on-line today, I encountered an error. There is an email in to the hotel POC and I hope to have it resolved by next Tues. I will also be getting an updated reservation list from the hotel and will post those names with the screen names on this forum.

Ok, the error we received when doing the on-line reservation was

"No rooms were available on those dates with the group rate."

Per the hotel:
We did find out that after you get the error message, just click on Availability Calendar (next to the check in/out dates). For some reason it pulls the group rates there.

What we found when trying the Find Available Rooms button, is that the problem is intermittent. So if you get the same error we had, try the Availability Calendar method or even the View Calendar on the left side of screen

Let me throw this out to everybody. We've been monitoring the hotel rates during our week and we noticed a spike for 6/23/10 (Wed). Looking up to see why, it appears Sting is performing next door at the Amphitheater.


So if you delay too long in making your reservations and I have to turn rooms in, the likely hood you having a room is going to be slim to none, so please make your reservations and get me a PM letting me know the nights and the name the room is reserved under.

Ladies and Gentlemen,

I know that everybody has been busy with lives (kids, drives, work, etc.) but I have been approached by the hotel asking if I would release rooms for Sunday 20 June; this is two days prior to the actual start of events. As we have only had 4 rooms reserved out of the 90 set aside for that night, I am going to comply with the request no later than next Monday (26 April) to maintain a good relationship with the hotel. So please plan accordingly.

This will leave us with the following breakdown. (keep in mind some of these rooms used are actually lost rooms due to cancellations)

I suspect this is just the first night in their sights and they will be asking for more before long because of the small number of reservations thus far.

My final release date is May 14 which is less than a month away. Also, due to other activities near the hotel, rooms have increased to $190 for Wednesday (23 Jun) and $100 for other nights if not reserved through our group (S618C). If we need more prior to May 14, I might be able to add them, but only on a space available basis.

So I encourage those seriously planning on attending to please make their reservations as soon as possible. I also suggest those who have made reservations, encourage their friends on the list to begin making reservations and signing up for activities.

It would also be very beneficial to have activity reservation forms coming in so we know if we need to add or cancel activities. If everyone waits until the deadline of June 1, it could be hard to add more names and people may miss out on activities.

Lastly, if you want your name removed from the list of those attending because you have found you can no longer attend, please send a PM to me (Erzer) as this will help us to make any necessary changes.

Just wanted to let you all know we talked with the hotel and they have agreed to extend the hotel time to reserve a room till next Monday (24 May). There are still rooms available but that will be the last extension.


Current list above has been updated with what I know...

Good news for those who have not made their hotel reservations. I met with the Harrah's coordinator and her boss this afternoon for about an hour. They have agreed to a couple of things for those who missed deadlines (see I can be PC )

1. On a case by case basis and dependent on room availability, my point of contact will work with members of the group directly to get you rooms at the rate we advertised. This is really good news as they easily sell out or at least have a 98% occupancy rate every night.... To take advantage of their willingness to work with us.

Call one or the other and they can assist you.

I must stress, our next deadline for other activities is this Friday (4 June) for counts and money. Please don't delay as the other vendors are more than likely not going to work with us like Harrah's.

Just checked and for those that didn't know it, check-in is at 4:00pm or 1600 if it is easier that way.
