I informed my contact early on that'd we'd come do a site visit and to confirm all the logistics. I already know the layout and where they want the cars but I have a laundry list of things I want to check in with them on.
Short list just as examples of items to check on:
Signage
Tables / chairs (they already said we could use some of theirs)
Bathrooms (they have bathrooms inside but they may have some portajohns as well -- or we may need some)
Audio / Music (we are going to set something up aren't we -- so we can use a mic for announcements) - If someone has a good system we can use I won't have to ask them
Access to power (shouldn't be an issue but just want to check)
Food / Water / Soda (Do we want to sell dogs / burgers? or other food?) - They do have food / drinks (cheese / meat boards etc in the wine tasting area and I don't want to infringe on their sales - so if we want to do something easy / simple let me know - for I'd want to respect this aspect of things for them)
There's more, but you get the idea. Do you want me to call and set up a time? I'll ask about weekend dates if available. When? May? June?

-we will need a table or two for registration, and maybe some chairs. we all have those camping chairs, and we dont supply chairs to the people that come to the show, so we should be good with what the winery has for us to use.
-We will have to talk to them about the bathrooms, they may not be able to put portajohns on the lot since they are an active vineyard.
-i have a buddy that at one time was a DJ, not sure if he still does, or has equipment. I'll talk to him and see. he may still at least have a PA.
-signage, we dont need much, just a couple of signs that say "car show <-----" and something to set up the classes.
-food/drink. if we are allowed to have something we would have to contact a place that wants to grill up all the food for the show. if anyone knows of a place that wants to supply food we can let them set up after giving a donation to the charity......the food people would be able to keep all the money they make. this is of course if the winery would allow it. i think the charity brings sodas and water to events as a fund raiser.
-as far as when i can go visit....the weekend of may 19/20 is mason dixon, i can be at the winery saturday, but not sunday. May 26/27 we have friends visiting, and ill have to stay around the house. my brother is coming out to visit in june sometime.......but i can drag him to a winery, so thats no problem. just let me know.
